Your role in our team

As the National Documentation Coordinator on our National Training Team, you will play a crucial role in managing and organizing technical and operational documentation across the organization. Your efforts will ensure that all documentation is consistent, up-to-date, and easily accessible to support smooth operations and compliance across all sites. By coordinating with various teams, you’ll help ensure that essential information flows efficiently, enabling employees to perform their roles effectively.

Qualifications:

  • Bachelor’s degree in Business Administration, Communications, Information Management, or a related field (or equivalent experience).
  • Minimum 3 years of experience as a Documentation Coordinator or similar role.
  • Strong organizational and administrative skills.

Skills/Experience Required:

  • Proven experience in documentation management, record-keeping, or related fields, ideally within a national or large-scale organizational context.
  • Experience in managing projects, including planning, execution, monitoring, and evaluation, crucial for coordinating documentation efforts across various levels.
  • Experience in developing, implementing, and evaluating policies related to documentation practices.
  • Proficiency in using Document Management System (DMS) software and tools for organizing, storing, and retrieving documents efficiently.
  • Ability to analyze data related to documentation processes to improve efficiency and compliance.
  • Familiarity with database management, digital tools, and software applications relevant to documentation.
  • Strong writing skills to create clear, concise, and effective documentation, reports, and guidelines.
  • Excellent verbal communication skills to effectively convey information and collaborate with diverse stakeholders.
  • Strong attention to detail to ensure accuracy and compliance in documentation practices.
  • Ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.
  • Knowledge of national regulations, standards, and best practices related to documentation and data management.
  • Familiarity with quality assurance processes in documentation and reporting.
  • Strong analytical skills to assess documentation processes, identify challenges, and propose effective solutions.
  • Ability to adapt to changing regulations, technologies, and organizational needs while maintaining effective documentation practices.
  • Experience in training staff or stakeholders on documentation practices, policies, and tools.
  • Ability to provide guidance and support to junior staff or teams involved in documentation efforts.
  • Bilingual proficiency in English and French is required

  • Oversee the organization, storage, and retrieval of documents, ensuring efficient and effective documentation practices.
  • Lead and coordinate documentation-related projects, including planning, execution, monitoring, and evaluation.
  • Develop, implement, and evaluate policies and procedures related to documentation practices.
  • Analyze documentation processes and data to identify areas for improvement and ensure compliance with regulations and standards.
  • Train staff and stakeholders on documentation practices, tools, and policies, fostering a culture of compliance and quality.
  • Ensure that documentation practices align with national regulations, standards, and best practices.
  • Implement and oversee quality assurance processes for documentation and reporting to maintain high standards.
  • Work collaboratively with teams, and stakeholders to foster strong professional relationships and ensure effective documentation processes.
  • Continuously assess documentation processes and adapt practices to meet changing organizational needs and regulations.
  • Provide guidance and mentorship to junior staff and teams involved in documentation efforts.
